Set up automatic meet payments

Parents save a card once and meet fees are taken automatically after the entry deadline, so nobody has to chase payments or remember to pay.

For: Parents, with club admins connecting Stripe first

  1. 1

    Club: connect Stripe

A member of the Executive Committee opens Finance, then Online payments setup. Choose Use our Stripe account if the club already has one, or Create a new one. Automatic payments appear for parents once Stripe is active, and money goes straight to the club's own account.

  2. 2

    Parent: save your card

Open My account from your name in the menu, find Automatic meet payments and choose Set up automatic payments. Stripe opens: enter your card and confirm. Back in Medley you'll see the card type, its last four digits and when it expires.

  3. 3

    Parent: accept entries as usual

Nothing else changes. When your swimmer is selected for a meet, accept or decline by the club's deadline. Only entries you've accepted, or requests the club has approved, are charged, and only for the events you kept.

  4. 4

The payment is taken after the deadline

Parents can respond all day on the club's deadline, so cards are charged from the next day. You'll get an email each time. Each entry is charged once.

  5. 5

Staff: check or charge a meet

Open the meet's Entries tab. Saved cards shows how many entries and families are ready and the total. Those who manage meet fees can choose Charge saved cards now to collect early, and those who manage meets can untick the automatic charge for that meet.
